Vault in detail


In the simplest sense Vault guarantees the company group administrator can upload reports to their own website, and issue an alert to their database, in less than 30 seconds.


The Vault has two primary functions:

Investor website content management

Designated group administrators can upload, edit and delete news releases, reports, calendar dates, shareholder analysis, director’ details and events.

Vault supplies web developers with the relevant XML code snippets, to be placed on the pages of the company’s website, that will call in the relevant information, links, and image thumbnails of news releases, reports, calendar dates, shareholder analysis, director details and events, as uploaded to Vault.

These XML code snippets can be styled by the website developers to match the structure and styles of the company’s current website.

Stakeholder database management

  • Subscribers can be added to, or join your group, in a number of different ways.
  • Subscribers can edit their own profile details, as can the group administrators.
  • Branded alerts and invitations can be sent to the group subscribers with a single click.
  • Once a subscriber is registered on Vault, they can join multiple company groups.

How can the service be accessed?

Administration access to the Vault service is provided to designated company administrators with associated individual administration logins.

Subscribers to your alerts database have password controlled access to your group information and to their profiles.

Module: Dashboard

Tabs:-

Announcements

“Announcements” provides subscribers with a summary of SENS announcements from the company groups where the subscriber is a member.

Calendar

“Calendar” provides shareholder calendar dates from the company groups where the subscriber is a member.

Tasks

“Tasks” carries a task list based on tasks the Group administrator has added to their group subscribers.

Tasks are added in the detailed subscriber profile view.

This tab is only visible to group administrators.

Requests

“Requests” carries a task list based on form based requests from the Group administrators website.

This tab is only visible to group administrators.

Events

“Events” carries the list of Events that the subscriber has RSVP’d to.

Messages

“Messages” carries the Messages that the subscriber or group administrator has sent or received.

The complete messaging function is carried in this tab.

Messages are also sent as emails.

My groups

“My groups” lists the groups the subscriber is a member of, with links to these groups.

Forums

“Forums” lists the active Forums from the subscriber’s groups.


Module: Group

Accessed via the “Edit my group” link top right in the grey navigation strip.

Tabs:-

Announcements

“Announcements” provides group subscribers with the full list of SENS announcements from the company.

Calendar

“Calendar” provides shareholder calendar dates from the company, and the subscriber can add these dates to their own calendar.

Company administrators can create and edit calendar dates.

These are outputted to the client website via XML feeds inserted into the client’s website page.

Administrators can issue alerts of new or changed dates, to the group database at their discretion.

Reports

“Reports” provides all reports, press releases and any other relevant documents from the company.

Company administrators can upload documents in a variety of formats, as well as linking to online reports.

To add a file:
Click on the grey “Upload a new document” at the bottom of the page.

To replace a file:
Click on the “Edit” pencil icon next to the existing document in the “reports” tab.

Browse down and Select a new file to upload from your computer.

Click “Save” button at bottom – and the document will be replaced.

Documents are sorted by common and/or custom categories, and are outputted to the client website via XML feeds inserted into the client’s website pages. A single document can be allocated to multiple categories and outputted to different pages of the company website.

Administrators can issue alerts to the group database at their discretion. The alerts carry a link to the document in question.

Additional custom text can be added to the alert as required and the target audience for the alert can be sorted by custom tags.

Shareholders

“Shareholders” lists the shareholder summary as uploaded by the group administrator.

Company administrators can upload the summary as supplied by their registrars in Excel format.

A formatted table is outputted to the client website via XML feeds inserted into the client’s website page.
Administrators can issue alerts to the group database at their discretion.

Directors

“Directors” lists the company directors as uploaded by the group administrator.

The directors images and CV’s are outputted to the client website via XML feeds inserted into the client’s website page

Events

“Events” provides a complete Events management function.

Create
Group administrators can create “Events” though the “Add new” button.

The add new Event window allows for text formatting, links and the inclusion of images.

Invite or Interact:
Once an Event is created group administrators can select and invite subscribers from their subscriber list.

If “Invite” is selected the subscriber will receive an invitation to the Event.

If “Interact”is selected (as in the case of a conference call or informal meeting) the subscribers will be recorded as attending.

The subscriber list can be sorted by keyword search, or by custom tags.

Subscribers who were previously invited to an event at the same “Location” will automatically be added the invitation list.

In this View the group administrator can Preview the email invite, Email the preview, Send the invitation, Remind subscribers to RSVP or Save the Interaction.

RSVP’s or Interactions
This view lists either those subscribers who have RSVP’s, or those selected for the interaction.

This list can be downloaded to Excel.

In this view the group administrator can issue a reminder to the RSVP’s to attend the event.

Notes
The group administrator can add Notes relating to the meeting.

These notes are recorded in the profile views of those subscribers attending or interacted with (viewed by the group administrator only.)

Download
A summary of the meeting, including attendees and notes, can be download to PDF.

Members

This tab lists the group subscribers.

Members are listed by latest joined and can be sorted by custom tags or keyword search.

All, or search results, can be downloaded to Excel.

From this view the group administrator can Message the subscriber by clicking on the subscriber’s image, view and drill down to More Profile Details and add Tags by clicking on the subscriber’s name.

Group administrators can edit subscriber’s profiles by clicking on the pencil icon in the right hand column, or remove a subscriber from their group by clicking on the dustbin icon (This will not delete the subscriber from the underlying Vault database.)

Adding subscribers
Vault will upload the company’s existing alerts database to the company group. Where the subscribers already exist in the Vault database, the company’s database will be supplemented with additional profile information that pre-exists.

Group administrators can add a new member by clicking on the button at the bottom of this view. If the group administrator has the email address of a subscriber they would like to add, the system will search the system to see if this subscriber is already in the Vault database, and call in their profile for review. If the subscriber is not already in the Vault database, the group administrator can add their profile details and save the new subscriber to their group.

Once a subscriber is registered on Vault they can join, or leave, company groups.

Vault provides a “Register for alerts” link , with a unique group identifier, to be placed on your website. When a potential new subscriber clicks on this link, and completes the Profile form, they will automatically be added to your group.

Existing Vault subscribers who click on the link on your website will automatically be added to your group.

Notifications
Group administrators will receive an email alert of new subscribers joining their group.

More Profile Details
This view is accessed by clicking on the subscriber’s name, and then clicking on the “More profile details” link.
This view carries:

  • All the subscriber’s profile fields.
  • All meetings, and meeting notes, relating to this subscriber, with snapshot download option.
  • Any tasks allocated to this subscriber.
  • Any reports they might have uploaded.

Manage

Details

In this tab the group administrator can edit the company name, description, share code, sector and country.

Settings

In this tab the group administrator can choose to make the group private or public, control the frequency of email alerts, and designate an email address for alerts email replies to be sent to.

Photo

In this tab the group administrator can upload a logo to be used to brand the email alerts sent out.

Members

In this tab the group administrator can add and remove group administrators, and designate the group administrator that will be visible to subscribers.
